Picking Up Open & Substitution Shifts in the Mobile App

The HydroApps mobile app makes it easy for staff to pick up available shifts directly from their phone. Whether covering shifts posted for substitution or claiming open shifts on the schedule, staff can quickly manage additional work opportunities without needing to contact supervisors separately.



Reviewing Your Schedule

To begin:

  1. Open the Navigation Menu

  2. Go to the Scheduling Dashboard

  3. Tap My Schedule


Reviewing your existing schedule first helps you identify days where you are available to work additional shifts.



Picking Up Substitution Shifts

If another employee has posted a shift for substitution, those shifts will appear within the schedule.


To pick up a substitution shift:

  1. Tap the available shift

  2. Review any notes or comments attached to the shift

  3. Tap Accept Shift


Depending on your organization’s scheduling settings:

  • The shift may be automatically approved

  • Or it may require manager approval before being assigned



Automatic Shift Approval

Some organizations allow automatic approval for shift pickups if:

  • The employee is available

  • The shift does not exceed maximum hour limits

  • No scheduling conflicts exist


When automatically approved:

  • The shift is immediately added to your schedule

  • You may receive an in-app notification confirming the assignment



Viewing Open Shifts

HydroApps also allows staff to browse fully open shifts that are not currently assigned to another employee.


To view open shifts:

  1. Go to Available Shifts

  2. Browse shifts by day and time

  3. Select any eligible shift you would like to cover


Open shifts may include notes or comments from management, such as:

  • Lesson coverage

  • Special events

  • Staffing needs

  • Position details



Requesting Open Shift Pickups

When requesting an open shift:

  1. Tap the shift

  2. Submit the pickup request


If manager approval is required, the request will remain pending until approved.

The app will display an indicator showing:

  • The shift has been requested

  • Approval is still pending


Once approved, the shift will appear on your schedule.



Managing Pending Requests

The mobile app makes it easy to track:

  • Accepted shifts

  • Pending shift pickup requests

  • Upcoming scheduled shifts

  • Open coverage opportunities


This helps staff stay organized and quickly respond to staffing needs throughout the season.
