Managing a busy aquatics facility requires precision, flexibility, and clear organization—especially when it comes to scheduling your team. HydroApps makes this easier with the ability to customize facility positions in just a few clicks. Whether you're updating existing roles, assigning new ones, or refining your coverage zones, here's how to make sure your staff schedule stays accurate and up-to-date.
Accessing Facility Settings
To begin editing facility positions, log in as an admin and navigate to the Admin > Facilities tab. From there, you'll see several editable options:
Maintenance Visibility – Choose who can view and manage maintenance tickets.
Location Settings – Adjust specific zones and areas within your facility, especially helpful if you've expanded your space or want better data for audits, in-services, or incident reporting.
Facility Positions – The main focus of this tutorial, this tool lets you fine-tune the roles your team members are scheduled into.
Customizing Facility Positions
Facility positions are directly tied to the Schedule Manager tool. Here's what you can do:
Edit Existing Roles – Use the pencil icon to rename roles, change their abbreviation codes (used in the schedule view), and assign color codes that visually distinguish them on the calendar.
Add New Positions – Need to add a new role like Head Guard? Simply type in the position name, assign an abbreviation (e.g., HG), and select a color that fits your scheduling scheme.
Remove Unused Roles – If you're no longer using a position, like Customer Service Representative, you can delete it to declutter your options.
Instant Updates, No Extra Steps
Once you save your changes, they immediately take effect in your scheduling tools—no need to take any additional steps. This means you can confidently make quick adjustments and know your updates will be reflected right away.
Why This Matters
Customizing your facility positions ensures smoother operations, clearer communication, and a cleaner scheduling experience. By aligning your roles and zones with your current staffing structure, you're not only improving internal processes but also enhancing accountability and performance tracking.
