How to Use Chat in the Web App - Employee View

HydroApps Chat makes it easy to communicate with coworkers directly from the web application. You can send individual messages, create group conversations, share files, and manage your chat notifications.


This guide walks you through the features available to users in the web version of HydroApps.

Accessing Chat

To open Chat:

  1. Log in to HydroApps.

  2. Select Chat from the navigation menu.


You'll see a list of conversations you're currently part of, including individual and group chats.


Individual chats contain two participants, while group chats contain multiple participants and display a group name.


Starting an Individual Chat

To send a direct message to another user:

  1. Click the + New Chat button.

  2. Search for the person by name.

  3. Select the user to create the conversation.

  4. Type your message and click Send.


You can also send emojis, react to messages, and reply to individual messages within a conversation.


Sending Photos and Files

You can attach photos, PDFs, images, and other files directly to your messages.

Use the attachment option in the chat window to select the file you'd like to share.


Creating a Group Chat

Group chats allow you to communicate with multiple staff members in a single conversation.


To create a group:

  1. Click + New Chat.

  2. Search for users or use the available filters to narrow your selection by facility or role.

  3. Select the users you'd like to include.

  4. Enter a group name.

  5. Choose a two-character abbreviation for the group's avatar.

  6. Select a color.

  7. Click Create Chat.


Your new group will appear in your Chat list.


Tip: You can use the search and filter options to find specific staff members or select all visible users within your filtered results.


Managing Group Chats

Open a group conversation and select its name to view the participants and available options.


Depending on your role in the group, you may be able to:

  • View group members

  • Refresh the conversation

  • Mute notifications

  • Rename the group

  • Add participants

  • Leave the group

  • Delete a group you created


Users can leave regular group chats when they no longer need to participate.


Understanding Manager-Assigned Groups

What Does the Lock Icon Mean?

A lock icon indicates that a group was created and assigned by a manager or administrator.


Unlike regular group chats, members cannot leave these groups on their own. Managers control group membership and naming.


You can still view messages and mute notifications within an assigned group.


Managing Notifications and Unread Messages

You can mute notifications for individual conversations through the group's settings.


Your Chat list also displays unread message counts, making it easy to identify conversations with new activity.


If a conversation isn't displaying the latest messages, use the Refresh option to update it manually.
