As an aquatic operator, having real-time data at your fingertips is crucial for making informed decisions. HydroApps’ dashboard cards provide immediate insight into key operational metrics, giving you the visibility you need to keep everything running smoothly. Here, we’re going to break down each dashboard card available in the new HydroApps, showing you what data they display and how they help optimize your facility’s performance. Plus, admins have the ability to manage which cards are displayed by easily turning them on or off in the settings, allowing for a customized and efficient dashboard experience. Let’s dive in!





Each of these dashboard cards in HydroApps pulls valuable data that can help you optimize your operations and improve the efficiency of your facility management. Whether you’re tracking maintenance issues, managing staff, or ensuring the safety of your pool, these cards provide you with a snapshot of key performance indicators (KPIs) that are vital for day-to-day success.


Maintenance Dashboard Card

Average Time to Close Maintenance Issues

This card tracks the average number of days and hours it takes to resolve maintenance issues logged through your maintenance ticket system. It allows you to filter by urgency (urgent vs. non-urgent), helping you identify any areas where your facility might be falling behind in addressing maintenance concerns. This is a great tool for setting benchmarks, improving response times, and reporting the volume of maintenance tickets your team is handling.














Asset Manager Cards

You’ll see this if you have ASSET management


Card #1: Total Value of Assets per Facility

Built from the replacement values you input in Asset Management, this card helps you track the total value of assets across different facilities. Knowing the replacement cost of assets can help you better manage your facility's budget and plan for future expenditures.
















Card #2: Asset Warranties Expiring Within 90 Days

This card pulls from your asset warranty dates, so you can stay ahead of expiring warranties. It’s an essential tool for maintaining your assets and avoiding unexpected repairs. Warrantees are also sent as reminders like certifications based on the timeline you select.

















Card #3: Inventory Items Within 20% of Minimum

When your inventory levels start to dip below a certain threshold, this card will flag the items that are nearing their minimum required levels. For example, if you have a minimum of 10 lanyards, this card will show when your inventory falls below 12, ensuring that you never run out of essential supplies.

















Card #4: Number of Open Asset Issues

This card reflects how many asset issues are still open from asset checklists, giving you a quick overview of any ongoing asset-related concerns that need attention or delegation.

















Card #5: Number of Inventory Items Used

Keeping track of how many inventory items have been checked out is essential for managing stock levels. This card helps you understand which supplies are being used most frequently for efficiency with ordering and budgeting.
















Card #6: Number of Checklists Due

Displays how many asset checklists are due in the selected time for completion. By tracking the upcoming due date of your monthly, quarterly, and annual checklists associated to your assets and equipment, you can ensure compliance and prevent any critical tasks from slipping through the cracks.



















Staff Management (Formerly Lifeguard Management) Cards

You’ll see this if you have STAFF management


Card #1: Audit Types Completed

This card shows a breakdown of completed audit types, which can be filtered by facility and date. It provides insight into how many audits of each type are being completed across different facilities.

















Card #2: Audit Question Pass/Fail Rate

Displays pass/fail rates for different audit types within a selected date range, helping you quickly identify areas where your team may need additional training or support and if your benchmark for audit performance is on track.
















Card #3: In-Service Skills and Equipment Use

Track the skills and equipment used during in-service training sessions. This helps you identify any gaps in staff training or equipment usage, ensuring your team is always prepared.















Card #4: Audit Score Averages

Calculates the average audit scores by facility and audit type, helping you gauge overall performance for each facility. Passes are counted as 100, while fails count as 0, providing a clear picture of your team's readiness.














Card #5: In-Service Attendance

This card tracks the number of staff members assigned to in-service training sessions, allowing you to monitor participation and ensure that all team members are properly trained.




















Illness/Injury Report Cards

You’ll see this if you have FACILTY management


Card #1: Rescues by Type

This card pulls data from the standard illness/injury report and shows how many rescues were made, categorized by type such as drowning or injury. Tracking rescue types is essential for identifying potential risks at your facility.
















Card #2: Rescues by Location

Helps you identify high-risk areas within your facility by displaying where rescues occur most frequently. This can inform in-service training, safety measures, and staff placement.
















Card #3: Rescues by Time of Day

Knowing when rescues happen most often can help you adjust staffing and safety protocols, especially during peak hours.


















Card #4: Rescues by Age Range

Displays data on rescues categorized by the age range of the individuals involved. Understanding the demographics of rescues can help target safety efforts, training protocol, and policy creation.



















Schedule Management Reports Cards

You’ll see this if you have SCHEDULE management


Card #1: Assigned and Unassigned Shifts

Displays the number of shifts that are assigned and unassigned, helping you monitor scheduling gaps and ensure that all shifts are covered.















Card #2: Approved Time Off

Keeps track of all approved time-off requests, so you can quickly assess whether any staffing shortages will occur.















Card #3: Percentage of Staff with Availability

Displays the percentage of staff with completed availability, ensuring you know who’s available to fill shifts as needed and who you need to contact to request availability.















Card #4: Shifts Posted for Sub

Shows how many shifts have been posted for substitution, helping you monitor dropped shifts and ensure shifts are appropriately covered.















Checklist Management Cards

You’ll see this if you have FACILITY management


Card #1: Number of In-Progress Checklists

Shows how many checklists are currently in progress, ensuring that all required tasks are being actively tracked.
















Card #2: Number of Urgent Issues Closed

Tracks how many urgent issues have been closed, helping you monitor how effectively your team is addressing high-priority concerns. You can toggle between displaying urgent checklist issues or urgent maintenance issues.



















Card #3: Number of Open Issues by Option

Displays how many open issues there are across different checklists, making it easy to see where action is needed.















Pool Test Cards

You’ll see this if you have POOL TEST


Card #1: Percentage of Pool Tests on Time

Displays the percentage of pool tests that are completed on time, ensuring you’re staying compliant with health and safety regulations.
















Card #2: Percentage of Pool Tests in Range

Shows the percentage of pool tests that fall within the correct chemical range, helping you maintain optimal pool conditions for safety and comfort.


















Card #3: Patron Count

Displays the number of patrons using your pool, giving you insight into facility usage and helping you adjust staffing levels accordingly.
















Insights Dashboard Management

  • As a default, Admin & Facility Manager users will have access to the Insights Dashboard.

  • Pool Manager, Staff, & External Users will only see Insights if their Admin has turned it on for them (in user role templates or individual Inspections/Access, under “edit User”)


Card View

The card options you see are determined by what HydroApps modules you have – so no sifting through deactivated features, just manage what is there for you!

  • To edit the cards you see on your Insights Dashboard, click the Manage cards button on the top right of your Insights Dashboard screen.


  • Turn on/off cards from the pop-up screen

Additional Tip

  • Clicking (tapping on a touch screen) card categories takes you into that part of the website.

    • Example: Clicking “Pool Tests” on any of the Pool Test cards will take you to the Pool Test page for your facility *Schedule Manager Cards do not have this functionality
