As a Schedule Manager, ensuring your facility is adequately staffed while avoiding conflicts or overtime can be a balancing act. HydroApps’ Schedule Manager makes it easier to assign, reassign, and adjust shifts based on real-time availability and staff workload. This guide walks you through managing schedule changes effectively.
Before You Start
Make sure:
Your schedule is already created and published.
You’re familiar with how to navigate to the Schedule module.
How to Assign Staff to Open Shifts
Navigate to the current schedule from your main navigation panel.
Click on any open shift you need to fill.
A list of available staff will be shown, sorted by availability and remaining hours.
Click Assign next to the appropriate staff member.
💡 Tip: Pay attention to hour limits. The system will show how many hours a team member is scheduled for that week.
How to Reassign a Shift
Find the shift currently assigned to a staff member.
Click into the shift and choose Remove or simply assign a new staff member—this will override the current assignment.
Select a new team member (ensure they are available and within their hour limit).
Click Assign to save the changes.
Example: If Amanda is over her hours, and you know Joseph is available, you can reassign the shift to Joseph to help balance the workload.
Handling Shift Trades
Look for shifts labeled as Trade Requested.
Click on the shift to see who has offered it up.
Review available staff who may be eligible to take the shift.
Once confirmed, click Assign to complete the trade on behalf of the team.
⚠️ Note: Some trades may require manager approval depending on your facility settings.
Best Practices
Monitor total weekly hours to avoid overtime.
Communicate directly with team members when making last-minute changes.
Use availability tools and calendar views to make informed scheduling decisions.
