Setting Staff as Available - for Schedule Managers

Sometimes staff don’t update their own availability—and that can slow down your scheduling process. With HydroApps’ Set Availability feature, you can make selected users fully available for a specific schedule period, saving you time and avoiding gaps in coverage.



Steps to Set Availability for Staff:

  1. Open Schedule Manager and go to the schedule you're working on.

  2. Click the “Set Availability” button at the top of the screen.

  3. Select an end date for the availability period.

    • It will default to the end of the current month, but you can change it to match your schedule period.

  4. Click the user selection dropdown:

    • Use “Deselect All” to start with a blank slate.

    • Search and select the users you want to make available (e.g., Aiden, Bennett, Brayden).

    • As you select users, you’ll see the count update in real time.

  5. Once your desired users are selected, click “Assign All Staff.”

  6. Confirm your action in the pop-up prompt to finalize the update.


The selected users will now be marked as available for the chosen schedule period, allowing you to:

  • Assign them shifts

  • Use them in the SwiftShift tool

  • Ensure schedule accuracy before publishing


💡 Tip: If you want to set all staff as available, skip the user filtering and simply click Assign All Staff with all users selected.
