Creating A Schedule Template

Creating consistent, streamlined staff schedules is a key part of keeping your aquatic facility running smoothly. With HydroApps’ Schedule Manager, building a schedule template is simple and saves valuable time throughout the season. This guide walks you through how to set up and use a reusable schedule template for your team.



Why Use a Schedule Template?

A schedule template serves as the foundation for your weekly (or bi-weekly/monthly) staffing plans. It allows you to pre-assign common shift patterns and staffing needs—like lifeguards and managers on duty—so you can spend less time rebuilding the same schedule every week.


Step-by-Step: Creating Your Schedule Template

  1. Navigate to Schedule Templates In your HydroApps dashboard, head to the Schedule section in the main navigation menu. Scroll down and select Schedule Template.

  2. Create a New Template Choose the facility where this template will be used. Then click Create New Template and select your preferred format:

    • 1-week

    • 2-week

    • 4-week

      Note: You can only have one active template applied at a time.

  3. Name Your Template Give your template a clear name—like “Summer Schedule” or “Weekend Rotation”—so it's easy to identify later.

  4. Add Shifts Use the ➕ icon to add each shift. For each shift:

    • Select the Position (e.g., Lifeguard, Manager on Duty)

    • Set the Quantity of staff needed

    • Choose the Start and End Times

    • Select the Days of the Week this shift should repeat on

  5. Customize As Needed Repeat the process for all core roles. You can edit the template anytime to:

    • Rename it

    • Add or remove shifts

    • Adjust how many weeks it spans

  6. Apply Your Template When you’re ready to schedule, go to Schedule Manager and click Create New Schedule. Choose your template, pick the start date, and your shifts will autofill—ready to adjust and publish!


Pro Tip: Manual Adjustments

Once a template is applied, you can still manually edit shifts for specific days or staff before publishing.
