Assigning Shifts in Schedule Manager

Managing staff schedules at aquatic facilities can be complex—but HydroApps’ Schedule Manager makes it easier. Whether you’re assigning team members manually or using the SwiftShift auto-scheduling tool, our platform helps you make sure every shift is filled with the right staff at the right time.



Step 1: Start with a Ready-to-Assign Schedule

Before assigning staff, ensure you've created a schedule that includes unassigned shifts. Once your schedule is built, click on a shift to begin assigning.

Step 2: View Staff Availability

The system automatically organizes staff into two categories:

  • Available for the selected shift time

  • Not Available (either already scheduled elsewhere or have approved time off)

Click the dropdown to view the list or use the calendar icon to explore detailed individual availability.

Step 3: Assign Staff to a Shift

To assign a team member, simply click Assign next to their name. Staff with conflicts—like approved leave or overlapping shifts—will be flagged. You can override unsubmitted availability if you’re confident that the staff member can work that shift.

Step 4: Use SwiftShift to Auto-Assign

HydroApps’ SwiftShift tool automates scheduling by using submitted availability to fill open shifts:

  • SwiftShift avoids assigning unavailable staff.

  • You can schedule based on Primary Facility or Any Facility roles.

  • It’s great for saving time and reducing scheduling errors.

After SwiftShift runs, you can manually fill any gaps by assigning staff as needed.
